This checklist is designed to guide you in reviewing your onboarded data to ensure it aligns with your chart of accounts and is mapped within the ClearGov platform to effectively support your budgeting process.

Locating the Financials Tool
To review your data, locate the Tools solution in the navigation sidebar, then select the Financials tool.
Your Financials worksheet allows you to review/view your data similar to how you would normally look at it through your ERP/financial software reports or Excel.
Reviewing Data
There are three key areas to double-check your data on: Fiscal Years, Versions, and Values, Dimension Headers, and Dimension Codes.
- Years, Versions, and Values
- Confirm onboarded data includes:
- Desired Years of data
- Desired Versions (Adopted Budget, Amended Budget, Actuals, etc.)
- Revenues and Expenses, as expected by Year/ Version/ Fund, etc.
- Review Revenue and Expense Subtotals for accuracy
- Review Asset, Liability, and Equity subtotals (if applicable)
🌟Pro Tip: Open the “Column Menu” to the right of the Data Columns to review the Years and Versions of onboarded data. Select all Years and Versions to bring into view.
- Checking the Segment or Dimension Definition
Note: A Segment or Dimension Definition is displayed in the column header of the financial table.
- Confirm that column headings accurately represent your Dimension or Segments in your Chart of Accounts. You will also see headings for Categories, such as Expense Type or Revenue Source, within the table.
🌟Pro Tip: Be sure to open the Column Menu to see all Dimensions mapped. Select all Dimensions to display on the Financial worksheet table.
- Dimension Code Definitions
Remember, a dimension code can be a portion of the account string, multiple portions, or the entire account string, depending on how it was configured in your ERP/financial software.
- Confirm that Code Definitions and Groupings for each Dimension are accurate.
- Review the subtotaled data in Groupings. This allows you to see the full list of Definitions in a given Dimension.
🌟Pro Tips:
- Drag the desired Dimension columns to the Row Group filter. You will see the account lines subtotaled by the selected Dimension. Note: You can filter by Revenues or Expenses, for example.
- It may be helpful to review Dimension and Code Definitions within a single fund, such as the General Fund, separately from the entire organization. For example, General Fund > Department will provide you with a list of Departments only within the General Fund, and it may look very different from an All Funds view.
