The electronic signature will give the ability to approve and sign spreadsheet data and statements, it will eliminate manual process with integration of existing workflow tool in Gravity.
Workflow settings for Electronic Signature
- Log-in to Gravity

From settings (gear icon) select “Workflows”

From the “Workflows” dialog screen, select a workflow to define an electronic signature (click on the right blue icon arrow to open a selected workflow).
- Make sure to define workflow steps and apply transitions between the steps, for example:
- Step1 - “Prepare” - add a transition to step2
- Step2 - “Review” - add a transition to step3
- Step3 - “Approved” - add a transition to the last step
- Double click on the first transition, from the pop-up screen select “Triggers”

In the Sign Spreadsheet field select “signature_p1” - prepare user signature will be applied to the spreadsheet when workflow step will be changing.

- Double click on the second transition, from the pop-up screen select “Triggers”

In the Sign Spreadsheet field select “signature_r1” - review user signature will be applied to the spreadsheet when workflow step will be changing.

- Double click on the third transition, from the pop-up screen select “Triggers”

In the Sign Spreadsheet field select “signature_a1” - approved user signature will be applied to the spreadsheet when the workflow step will be changing.

- Save workflow settings
Prepare Spreadsheet for Electronic Signature
- Open report or create a new report
- Open Spreadsheet object (Make sure a workflow with signature triggers assign to the object)
- Define who are the users that need to add a signature to approve a spreadsheet data
- Define the cell that each of the users needs to add his signature, for example:
- The person who prepares the data should apply his signature - a named range for the cell should be created as signature_p1 or signature_p2 if more than one person is needed
- The person who reviews the data should apply his signature - a named range for the cell should be created as signature_r1 or signature_r2 if more than one person is needed
- The person who approves the data should apply his signature - a named range for the cell should be created as signature_a1 or signature_a2 if more than one person is needed
- When a “Prepare” user will change the workflow step from “Prepare” to “Review” automatically electronic signature will be added to the cell with the defined name range.
- When a “Review” user will change the workflow step from “Review” to “Approved” automatically electronic signature will be added to the cell with the defined name range.
- When an “Approved” user will change the workflow step from “Approved” to “Done” or any other final step automatically electronic signature will be added to the cell with the defined name range.
- If a step did not approve, and the workflow step should be repeated, the signature with the latest timestamp will overwrite the first one.
- When the report will roll forward, the workflow step will be reset, and the electronic signature will be removed.
