Data Connections: ERP provides an automated data flow that pulls General Ledger financials directly from your accounting system into ClearGov. By utilizing this "set it and forget it" data automation, your budget-to-actuals, dashboards, transparency portals, and ACFR data stay current at a frequency you choose, without anyone having to export or upload files manually.
To get this automation up and running, you will progress through our structured initial onboarding process:
The Onboarding Workflow
1. Meet with the ClearGov Data Onboarding Team
The process kicks off with a virtual meeting between your team and the ClearGov Data Onboarding Team. During this meeting, we will map out the technical details required to bridge your ERP system with ClearGov. Additionally, inform our team regarding your intended update frequency. Knowing how often your ERP system will sync fresh data helps us maintain accurate records for your automated integration.
2. Technical Configuration
Following the kickoff meeting, our data team handles the backend infrastructure requirements:
- Feature Flag Activation: The Data Connections: ERP feature must be enabled via a feature flag on your account.
- SFTP Directory Setup: An SFTP (Secure File Transfer Protocol) Directory will be configured to securely receive automated financial files from your ERP.
3. Activate Data Connections
Once the connection is established, data flows through a secure, automated system:
- Processing: Upon receipt of your financial files, the data is processed securely through our platform.
- Integration: The verified data is passed directly into ClearGov via API to seamlessly refresh your modules.
What to Expect After Setup
Once the initial integration setup is finalized, your system will automatically manage the incoming data pipeline:
- Automated Updates: Accounts that already match your ClearGov configuration will have their financial values updated automatically without manual intervention.
- Bypassing Manual Mapping: Because your primary dimensions are defined during this initial integration setup, your organization will typically bypass standard manual mapping workflows.
- Handling New Accounts: If you create a brand-new account code in your ERP that matches your existing schema structure, the system will flag it. Instead of breaking the pipeline, these will appear safely inside the Account Setup screen within your Financials tool, where you can easily define the new segment's dimensions.
