You may be looking to add collaborators to your document to help with building out your budget book, report, or CIP document, or maybe to simply have a reviewer leave comments for improvement. The first step to having collaborators to help you is to assign permissions.
Note: Managing page assignments can be done from a People view or from a Pages view, giving multiple ways to manage who can contribute and where they can contribute.
Collaborator Permission Levels
Let’s define the permission levels that can be assigned to a user. Note: Users will see all of the pages that exist in the document, but will only be able to access the pages they have been assigned.
Editors
An editor can assign pages of their created documents to other users in their organization, which helps to foster collective editing and reviewing of the document. As well as add an editor/co-owner user to a document will give that user full access to the entire document. Below are the permissions an editor can assign to others.
An editor can:
- Add other Contributors and Reviewers
- View, edit, reorder, and hide/unhide all pages
- Add, delete, or clone pages
- Comment on content and pages
- Customize Setting controls
- Set/change deadlines and page status
- Archive, restore, clone, or delete a document
- Make documents visible to the public
Note: Only Editors can delete a document.
Contributors
Adding and inviting a contributor user to a document will give that user edit access to specified pages.
A contributor can:
- View and edit assigned pages
- Comment on content and pages
- Change page status
Reviewers
Adding and inviting a reviewer user to a document will give that user read-only access to specified pages.
A reviewer can:
- View assigned pages
- Comment on the content and pages
- Change page status
