On Step 2 of creating a Capital Project Tracker, you have the option to sync the project tracker with your Capital Budget or add the capital projects later.
If you choose to sync the project tracker with your Capital Budget, you’ll select the budget and projects you’d like to include, as well as manage the phases and stand-alone costs associated with them. Syncing your plan with Capital Budgeting is an easy way to keep all your information up to date without any extra steps.
From the Creation Screen
- Select Sync with Capital Budgeting.
- Select the Budget and preferred Scenario that contains the projects you want to add to your capital budget tracker.
- Choose the projects you want to display and manage in your capital project tracker by selecting the checkboxes next to the desired projects.
Pro tip: Looking for a specific project? Use the search filter in the table to locate it instantly. - Select the Next: Manage Project Cost button to continue.
Next, Manage Project Costs by assigning a cost type to the categories previously defined in the Capital Budgeting Capital Costs Panel.
- The type is either set as a Phase or Stand-alone Cost.
- Phases represent costs associated with a specific stage of a Project that will accrue expenses over a period of time. Construction, for instance, is a step to completing a Building & Facilities type Project, but it will also accrue expenses, making it a Phase.
- Stand-alone costs are the categories only there to manage costs and not a step toward completing the Project.
Once each project type has designated project costs, select the Next: Add Action Items button to continue. Here, you can start to add Action Items to each Project. Note: this step is optional and can be completed later.
When you are ready, select the Finish: Complete Capital Budget Sync button to move to the next screen. To view and start working on projects, select the Start Executing on My Tracker icon.
From the Project Manager Tab
If you opted not to sync with the Capital Budget during the tracker creation process, you can sync it after the fact in the Project Manager tab.
- Select Import
- Select Sync with Capital Budgeting
- Select the Budget and Scenario that contains the projects you want to add to your tracker.
Select the projects you want to display and manage in your capital project tracker. Any projects that are already synced from your Capital Budget to the Capital Progress Tracker will display an Already Synced label.
Follow the steps above (beneath From the Creation Screen) to Manage Project Costs and, optionally, Add Action Items. When you are ready, select the Finish: Complete Capital Budget Sync button to complete the sync.
