You can utilize the Change Position feature to automatically set a Position Code to become Vacant after the specified End Date. This allows for the Position to be filled all year, partially by one Employee and partially by another.
- Navigate to the Positions Tab
- Navigate to the Filled Positions Tab
- Select a Filled Position ID to view the Employee Detail Screen.
- Select Change Position
Click on the image to zoom.
- You can choose whether to Create a Vacancy or Leave Unfilled after the current Employee’s End Date. The difference is really whether you want to budget for the Position or not.
- Create A Vacancy would budget automatically for the maximum amount that the Employee would cost, including maximizing all Additional Pay and Benefits. Note that the Vacancy will be prorated based on their start date.
-
Leave Unfilled means you won’t be budgeting for it. This Position will not include the Position’s wages in the total Personnel Budget for this year. No Vacancy will be created for this Position, so it will not display in the Vacant Positions tab.
- Note: If you have Position Control toggled on, the Position will display in the All Positions Tab, and its status will be Unfilled Position. For additional information on Position Control, see the training & support article: Turn on Position Control
- Enter the New Position Information. Select the Job Code. Grade is optional, you can enter if applicable. Enter the Position Code, Initial Step Date, FTE, and Start Date.
- Note: The Position Code must be new. Otherwise, you would use the Concurrent Position functionality.
- For additional information on these fields, such as Initial Step Date, see our training & support article: Personnel Budgeting - Key Terms and Definitions
After a concurrent position is added, the blended compensation section will be updated to include all related financial information from each job associated with that Employee.
