Workflows maintain clarity by defining responsibilities in the reporting process. Limiting actions (access, edit, approve) to the right users reduces errors and unauthorized changes. They enhance collaboration by signaling when team members should contribute or review. Overall, workflows make managing financial reports more organized, secure, and efficient.
Creating a Workflow
To create a workflow, select the Settings button in the bottom left-hand corner of Disclosure Studio.
- Select the Workflows card from the Overview screen.
- Then select the Create new Workflow Template button.
- In this menu, you will name give you workflow a Template Name and add a Description.
- Then select the Create Template button.
Once created, select the workflow you have just created.
Note: Your workflow will show as invalid until you have completed adding steps, transitions, and endpoints.
Now you can begin to plan your workflow in the Workflow Template Editor.
Adding a Step
- Select the Add Step button.
- From the Step Configuration modal, name the workflow step. If needed, add a description and choose a color for the step.
- Next, select the Rules sub-tab to determine which user and group can edit or view the step.
- Select the Add Step button to save the step.
This workflow step will be the first stage that a document will be at in your report. You can click and drag these workflow steps to change their order.
Repeat adding steps until you have the workflow you want to utilize.
Note: To edit, double click on the step.
Adding a Transition
After you have created the stages you want to be part of your work flow, you will need to connect the workflow steps. This will create the path that work will flow in your report. To connect the workflow steps, select the Add Transition button.
- From the Create Transition sub-tab in the Transition Configuration modal:
- Select the Source Step (where the work is coming from) to the Target Step (where the work will end up).
- Optionally, add a step name, description, color, line style, and/or thickness of the line.
- Next, from the Conditions sub-tab, select whether to disabled for users with View or Suggest permission at the source.
- Select the Add Transition button to confirm your selections.
Remember to select the Save Workflow button each time to create a transition.
Adding Endpoints
The last step we will have to accomplish before finishing your workflow is selecting the endpoints. The endpoints mark the step where work starts and where it finished.
To set the endpoints, select the Select Endpoints button.
From the pop up menu, you will select the First Step (beginning) and the Last Step (end) of your workflow.
Once you have selected the endpoints of your workflow, select the Apply button.
Remember to select the Save Workflow button or risk having to redo all your work since last saving the workflow.
Note: Your workflow should now say Valid.
