Upload and publish your check and vendor payment data directly in ClearGov to be displayed in Financial Engagement or Transparency. Upload your file, map its columns to ClearGov fields, and review validation feedback to catch formatting or data issues before anything goes live. Once everything checks out, publish on your own schedule, whether that's monthly, weekly, or right after a payment run. Updates go live within minutes, keeping the check data your residents, councils, and staff see open and current.
Upload Check Data
- Navigate to the Financials tool. Then select the Checkbook tab.
- Select the +Add Check(s) icon.
- Select Download the ClearGov Template. Open the file, enter check details, and save.
- Select the Start button.
- Next, select the Upload file option and choose your file. Note: If you have only a few checks to add, you can also enter them manually.
- Review the map fields and select the Continue button.
- The Records screen will validate the check data being added. If all data is valid, select the Submit button.
Pro Tip! Use the Transform option to fix invalid columns. For example, if you have check dates entered in MM/DD/YYYY format, the system will alert you to that format being invalid. By using the Transform tool, you can tell the system to change the current date structure in the @Date field to YYYY-DD-MM format to meet validation requirements.
- Now you will see the new check data added to the checkbook screen. This data will instantly publish to your Financial Engagement or Transparency center portals.
