You will find 3 permission levels inside each budget: Editors, Contributors, and Reviewers.
There are a few simple questions you want to ask yourself before you set up your collaborators.
- Am I the primary staff member who will be maintaining the budget & making final decisions?
- Are there other staffers under the Department Heads who will need to enter portions of the budget?
- Will others need to review but not edit the budget?
Editors are typically people in the Finance department or the Executive Office. They can access and edit any part of the budget. Remember that the Admin who creates a budget is automatically assigned as an Editor. If needed, you can add additional users to the Editors tab.
Contributors are typically department leaders or individuals responsible for a portion of the budget. They can access and edit only sections of the budget to which they have been given permission. This means they can edit values and percentage changes for accounts, add itemizations, and add notes, comments, & attachments. Note: Contributors can co-contribute to the same accounts and itemizations.
Reviewers are typically councilors, board members, or committee members. They can access and review only sections of the budget to which they have been given permission. Note: Reviewers cannot edit budget numbers - they can only add comments and attachments.
If this is the first budget you are creating for a fund, you will be starting fresh with your Collaborators and permissions. However, don’t worry in your second year you can bring forward the collaborators and the setup you decided on in the prior year!
