Within the Worksheet, there are two ways to edit accounts. Select the method below to navigate directly to that section.
Edit Accounts on the Worksheet
Before we begin, we highly recommend enlarging the worksheet line item detail table with the Maximize button in the upper right hand corner of the worksheet.
To edit the amount of the account or itemization, enter a dollar value or a percent increase/decrease in the FY## In Progress column. Any changes made will be automatically saved.
You can also edit the values in the FY## Projected column as well as any Forecasted columns.
Note: If you are working with a Biennial budget you will have two fiscal years and the totals of those two years will be displayed in the In Progress column.
Take Action on Accounts
By selecting the More Actions button (three dots) for an account, you will have additional options for taking action on that account.
Select multiple accounts and select Bulk Actions in the upper left-hand corner to take action in bulk on specific accounts.
Note: Some of these actions are permission-based. If you are a Contributor or Reviewer and do not see an action, reach out to an Editor of your Operational Budget.
You can learn more about each action with these resources: Worksheet Actions
Edit Accounts by utilizing the Account Form View option
The form view offers a sheet of paper-focused look and feel for a given account item. This will allow you to cycle through your assigned accounts one at a time.
In the Worksheet, select the account Description name to utilize the Account Form View workflow to individually display each account.
On the General Info & Funding Details tab, you can:
-
Select the Cost Type: One-Time Cost or Recurring Cost.
- If an account won’t be budgeted for next year, mark it as a one-time cost to automatically archive it during the carry-forward budget process. By default, all accounts and itemizations in the Worksheet tab are recurring until modified.
Add Notes to add extra commentary or contextual information to let others know more about a budget adjustment. These are public facing.
Within the Account Detail section of the General Info & Funding Details tab:
Enter a dollar value or a percent increase/decrease in the FY## In Progress column or add an itemization by selecting Add Itemization in the left-hand corner.
Lock Accounts and view the History under More Actions. For additional actions, please utilize the More Actions button on the Worksheet.
Adjust any Columns as needed.
On the Justification & Rules tab, select a Justification Type and enter in any additional Justification Details to provide a justification for the edits made or justification for any overrides of Rules.
Note: Editors can manage Justification Types in Operational Budgeting Settings. Resource: Edit Justification Settings.
Add or Edit Comments to an account to collaborate internally with other users. You can Reply directly to someone else's comment and take action on your own comments.
Add Attachments to provide additional detail. Attachments can be PNG, JPG, JPEG, PDF, DOC, DOCX, XLS, XLSX files under 20 MB.
You can review any existing attachments by selecting the File Name. Selecting More Actions (three dots) will let you edit or delete an attachment.
