Be Strategic - Build a Custom Statement
Begin by examining your previously created statement in your prior year document.
Ask Yourself:
- What groupings of data do you need?
- What lines need to total together?
- What columns do you need to report upon?
- Are any columns just informational, such as interest percentages?
Got the answers to those questions? Great, let's walk through the order of operations to set up your statement.
Order of Operations
When you first enter the custom statement, you’ll see that one generic row group will be in place. This row group is important for your totals!
-
Start by editing this first group by editing the name of the row group, such as Long Term Obligations.
Note: For this report, we want the Long Term Obligations to be the largest group that will total all other groups together.
-
Then begin to add the rest of the group rows you will need for the statement, such as Special Assessments, Lease Liabilities, and Business Type Activities.
Note: In this report example, the row groups will be added from within the first automatically created group we edited in Step 1. From the action icon (three dots) of the Group Row title or an individual row, select New Row Below to add a new Group Row.
-
Now add the individual rows that would be included in the statement. For example, within the Lease Liabilities group, we need to add building, equipment, and network infrastructure lease rows.
To add an individual child row, select the action icon (three dots) next to the individual child row automatically created within each row group and select New Row Below/Above to add a new Child Row.
-
Next, add/edit columns by selecting Statement Settings. From the Column Management tab, rename columns and add/delete additional columns.
For example, this statement needs to display such columns as fiscal year ending balances, additions, reductions, etc.
-
Now it’s time to enter the dynamic figures into the value placeholders on the statement.

Pro Tips:
- The automated Total Column will sum all added columns. If you only need a few columns to calculate, delete the automated total column and add a new total column where you can select the columns you wish to total.
- Within Statement Settings under Column Management, select Create Total Column to build sub-total columns. Choose which columns to include, name the total, and drag the column to reposition it in the report.
- If you enter a manual entry dynamic figure that needs to be reflected as a negative, enter the - sign in the ‘value’ field along with the number.
- If you wish, hide header rows like Long-Term Obligations when you only need to display the Total Row in the statement.
