FAQ: Operational Budgeting - Can you clarify why and when automated version columns are created in the budget?

There are three types of automatically created version columns within the operational worksheet as you progress through your budget cycle. These automated versions provide valuable comparison points within the beginning stages of a budgeting cycle: where you started the budgeted fiscal year, what has been requested, and what has been approved. 

Note: If your budget is biennial, you will see two columns per version, displaying data by fiscal year. Whereas, annual budgets will display one column for each version type. 

  1. Baseline Version - This version is created when you start a request round and represents the recorded values in the In Progress column before the start of a request round. Note: The worksheet requires you to have at least one version labeled as Baseline, whether manually or automatically saved.
  2. Requested Version- This auto-saved version represents the department's initially requested values for the fiscal year. This column will show real-time updates as contributors are editing values and submitting requests. 
  3. Closed Request Version - Represents the approved, denied, or edited values made by the editors during the approval workflow process. Note: The Finance Approved label is attached to this version automatically. 

Note: Both the requested and closed request versions are created within a request round cycle. 

A Few Things to Know:

  • The Baseline version can be renamed to your preferred naming convention.  
  • Auto-saved versions are automatically generated to ensure key beginning markers of your budget cycle are preserved. This means these versions cannot be deleted, whereas manually saved versions are deletable. 
  • Auto-saved versions can be hidden in the worksheet by deselecting them in the Worksheet Column menu. Pro Tip - Use Default Views in Settings to hide columns from any collaborator level.
