Use this article after: You have linked a Position Count Table to your document’s Personnel Data Source and created dynamic financial pages in your document.

Position Count Tables can be customized to meet your organization’s needs by adding in budgeted and actual columns for various years and showing job title detail. These tables display in a Personnel Summary Table in the Position Detail panel that is automatically added to financial pages in Digital Budget Books when the Position Count Table is linked in the document’s Personnel Data Source.
Once added to your document, it is strongly recommended that you customize your Personnel Summary Tables using the Document’s Universal Settings to ensure uniformity across all financial pages in your book where this table displays. There are two ways to access the table configuration menu. Select the link, below, to jump directly to that section of the article.
Customize from Financial Page Settings
To begin customizing your table, navigate to the Document Settings. Then, locate the financial page type where this table exists, such as Fund Summary or Department Pages.
- Expand the Position Detail content section by selecting the carat (>) to the left of the section name.
- To the right of the Position Summary Table, select the Configure button.
Here, you can make the following configuration decisions:
General Personnel Summary Table Settings

Decide how much detail the table will display.
- Toggle on Expand Statements by default if you wish for the table to display expanded on the document page in the website.
- Display suppressed rows will allow you to hide rows in the financial schedule tables that contain only zero-dollar values across all columns.
- Toggle on Show Job Titles to show job title-level detail.
- Row Settings allow you to manage the dimensions that will be displayed and grouped within a table. By toggling on the Sub-total Rows, you can add automatic subtotals from the view.

Customize Columns
- Drag and drop the columns in your preferred displayed order.
- Select or deselect columns to display. Note: Adding more than 6 columns to a table may result in additional pages in the PDF version of your budget book.
- Create a change column by selecting the +Add Change Column option.
Value Formatting Personnel Summary Table Settings
In the Value Formatting tab, decide how values in the table appear.
- FTE Decimal Places - choose how many decimal places to display for FTE values.
- Percentage Decimal Places - choose how many decimal places to display for percentages.
- Empty Value Display - choose to display empty values as 0.00, as a blank cell, or as a dash.
Table Presentation Personnel Summary Table Settings
In the Table Presentation tab, customize how the table displays visually.
- Toggle these on to display horizontal and vertical gridlines and a table border.
- Toggle Hide First Column Title on to hide the header title of the first (description) column.
- Add a Custom Footer to override the label shown in the total row (leave blank for the default).
- Set alternating colors for rows and columns
- Select a format for your column header displays including horizontal alignment, vertical alignment, Account ID formatting, horizontal alignment, and sort order (CoA or Alphabetical).
Don’t forget to select the Save Configuration button in the bottom right corner to save your changes when you’re done. Now the customization will display in that table on your financial pages of a given type.
Customize from the Global Schedule Configuration
Navigate to the Document Settings. Then, select the Table Configurations tab. Here, you can globally control all financial schedule tables that display throughout your document, including Position Summary Tables.
Note: The settings that pertain to the Position Summary Tables can be found in a sub-tab labeled FTE in the Value Formatting and Column Configuration tabs.
The General, Value Formatting, Table Presentation, and Column Configuration setting customization choices are the same choices as the ones outlined above, with the exception of the Show Job Titles toggle which can only be turned on from within the financial page settings.
Don’t forget to select the Save Configuration button in the bottom right corner to save your changes when you’re done. Now the customization will display in that table on your financial pages of a given type.
