There are a few things to know about adding spreadsheets to a Content Block. Select the step below to navigate directly to that section.
- Add Custom Spreadsheets
- Utilize the PDF Cutoff Guide
- Preview a PDF
- Format Custom Spreadsheets
- Import Spreadsheets from CSV or Excel
Add Custom Spreadsheets
Spreadsheets can quickly be added to a document by selecting the Add Spreadsheet icon. This will load a blank spreadsheet that you can copy and paste from your spreadsheet software. Or consider creating your spreadsheet right in the blank spreadsheet.
Note: Copying and pasting from another spreadsheet software will maintain cell formatting and formulas.
Utilize the PDF Cutoff Guide
When utilizing the spreadsheet option, it can be difficult to know if the columns on that spreadsheet will be too wide to fit on a page of the PDF version of your document.
Select the Display PDF cutoff guide toggle to see where a column will be cut off in the PDF. A vertical dashed line will appear, showing you where a column will be cut off in the PDF.
Note: Turn off the PDF cutoff guide to continue editing.
Then, adjust the column widths so that spreadsheets will display as desired when printing the PDF version of the document.
Preview a PDF
Double-check your spreadsheet display by previewing your page as a PDF.
- Select the Preview toggle in the upper left-hand corner of the page.
- Select PDF to preview how spreadsheets will display in the PDF view of the document. If the columns do not fit on a single page of the PDF, they will automatically wrap to the next page.
Format Custom Spreadsheets
Be sure to delete unnecessary rows to avoid extra white space.
- Select the Settings tab.
- Select the General icon.
- Adjust Column Count and Row Count.
- Select the OK button.
Also consider utilizing the AutoFit Column Width feature.
- Select the Home tab.
- Select the entire spreadsheet table.
- Select the Cells icon.
- Choose the Format icon.
- Select AutoFit Column Width. This will automatically resize columns.
You can also adjust the height and width of the spreadsheet by utilizing the canvas resizing tool.
Import Spreadsheets from CSV or Excel
Import Spreadsheets from a Microsoft Excel or CSV file into your Spreadsheet block.
- Start with a Spreadsheet content block. Select File in the left corner.
- Select Import and choose between Excel or CSV.
- Select your Settings and upload the file of your choice.
- The existing spreadsheet content block will now update automatically to be replaced with the selected file data and content.
- Customize the spreadsheet. You can drag the bottom yellow line of the spreadsheet to increase the size of the block vertically.
Note: Alternatively, you could choose to copy and paste an Excel spreadsheet into a Text Block to turn it into a table. Both options are ADA-compliant and screen-readable.
