This resource is meant to provide a holistic overview of the permissions available for the three different levels of roles available in ClearGov.
Each module includes a Collaborator section that enables administrators to assign user roles and set permission options for users.
Permission Roles
Let’s discuss the various user roles and their basic functionality. A module can have up to three unique roles: Editor, Contributor, and Reviewer within the Collaborator section.
Editor
This role is for users who will need full access to a budget, plan, or document. For example, this might be a Finance Director who creates a yearly operating budget and will be responsible for approving requests, continuing budget stages, and reporting on the budget.
- Editors can view, edit, and access all items within the budget, plan, or document to which they have been added.
- Editors can assign and invite contributors and reviewers to a budget, plan, or document.
- The admin who created the original budget, document, or plan in a module is automatically designated as a permanent editor for that budget, document, or plan.
Contributor
This role is for a user who requires access to the budget, plan, or document to participate in and assist with the requesting or editing processes. For example, this could be a department head who will be submitting capital requests in the Capital Budgeting module.
- Contributors' permissions will often be more limited based on account ID assignments or page or plan item access. Generally speaking, contributors can edit, request, and view assigned items in the budget, pages within a document, or items within a plan.
- Contributors may also be able to run reports and view summary information in a dashboard.
- Contributors will often be able to co-contribute with other users, depending on the assignments and unique permissions that the editor(s) have given to those contributors.
Reviewer
This role is for a user who needs limited access. For example, maybe a council member will be reviewing an operating budget after department heads have made requests, and the editor doesn’t want the council member to approve, but review and leave commentary.
- Reviewers can only view and comment on an assigned budget, plan, or document.
- Reviewers may also be able to run reports and view summary information in a dashboard.
