What You’ll Learn: This article is for Administrators using the Financial Tool. It explains what you need to know to achieve mapping new accounts to ClearGov.
When to Read This: Read this article after adding new accounts to the Financial Tool or sending new accounts over through the ERP Data Connection option.

You can add your own accounts directly to the system using the Financials tool. By doing so, you can improve your budgeting accuracy, disclose financial information with greater clarity, and maintain consistency with your ERP.
Add New Accounts
- Navigate to the Financials tool and select the Worksheet tab.
- Select the Add Account(s) option.
- Select the Download the ClearGov Template link if uploading many accounts at once. (Alternatively, you will be able to manually enter data if you need to add an account or two.) Select the Start button to begin adding accounts.
- Now choose between the Upload file or the Manually enter data options.
- Pro Tip: If utilizing a file, drag and drop a file or choose the Upload file button.
The system will validate information to ensure it meets data patterns and standards.
Once validation is complete, select the Submit option.
How New Accounts Are Handled
- Accounts that include new segment codes in the account string will be listed in the Account Setup tab within the Financials tool.
- New accounts that match existing segment codes will be processed automatically; no additional mapping required.
- If the new accounts do not match an existing account string setup, meaning it follows a segment pattern that has not been defined in the system before, it will not pass validation and must be submitted to ClearGov’s Data Team for processing.
