Versions of the Operational Budget can be created in the Operational Budgeting module. As you move through the budgeting process it is commonplace to save a version of the In Progress values. For example, the budget is going before the Council. Once the council has reviewed and approved a budget, the editor will save a version to create a new historical column of budgeted values.
Pro Tip: Make your version name unique. Think about adding the date behind the title (Council Approved 7.20.26) to date stamp the version. This will help you later tell the difference between similarly titled versions.
Note: Values in previously Saved Versions can change if itemizations are removed.
Versions Available in the Worksheet
In the Operational Budget, the system will display several unique versions:
- Financials Tool Versions - these versions will be the Budgeted and Actual data versions you have provided when being onboarded, through the Data Request form, or uploaded through the Financials Tool's self-serve options.
- FYXX ( ex. FY25) Budgeted - is the prior year’s last saved version of the budget that was created before you started a new fiscal year budget. It’s possible that you’ll see the most recently saved version of the default budget (FYXX Budgeted (current year)) when you are working in more than one budget year.

Created by Editor - any version saved by the editor of that budget or selected to close an open request round as that too will save a new version of the budget. Note: Editor-saved versions can be renamed if necessary.
- Note: Manually saved Operational Budget Versions are specific to the active fiscal year. Budget versions saved by an Editor do not carry forward to the next fiscal year.
- System generated - A Baseline Version is added when you invite Contributors to the budget if you have not previously saved one or when a request round has been closed.
