Your ClearForms Form is up and running, and you’ve collected some completed submissions.
Now what?
Maintaining your Form
A primary component of maintaining a Form is to monitor and analyze the completed Submissions.
You might want to consider the following questions:
- Is my Form efficient and effective?
- How could I improve my Form?
- Are users able to complete the entire Submission?
- Are the Submissions collecting the information that I need?
- Are users engaging with the Discussion feature?
Analyzing the Submissions
To answer these questions, we will engage in the following steps to complete Submission Analysis.
First navigate to the Form Submission Tab, see our article Getting to know your Form Submission Tab.
- Sort and filter completed submissions
- Filter by specific fields to search for responses
- Export submissions and their associated data
- Track users information with entities, emails, etc.
Analyzing the active and completed submissions by completing the above steps will allow you to monitor and maintain the functionality of your Form.
Filtering and Sorting the Form Submission Tab
The Form Submission Tab is the warehouse of submissions associated with all Forms.
Filter and sort the Form Submission Tab to the form you want to analyze. See our article Sorting and Filtering in ClearForms for more information.
- You can filter by fields in the Form.
- Export these submissions to view and analyze the completed answers.
Check for Renewals
Are any submissions up for Renewal? Configure the Renewal Settings to adjust auto-renewal for annual applications and send reminder e-mails.
For more information about Renewals, see Utilizing Renewal Options in your Form
Adjust User Roles
Throughout the year positions change and employees leave the organization. Adjust the User Roles as necessary to maintain the correct people in the review steps or discussions.
For more information about roles and responsibilities, see the support article Permissions - Creating Roles in a Team
Monitor the Discussion Feature
Are your applicants or constituents e-mailing you asking you questions you already put in the FAQ’s?
Direct them toward using the Discussion feature!
The Discussion feature is an internal tool in each form that will allow for communication between you and your applicant.
For additional information about Discussion feature, see the support article Using the Discussion Board
