Understand How Collaborators are added to Operational Budgeting
Account Assignments are the key to adding your Collaborators in Operational Budgeting; however, in order for a person to be added to accounts, they need to first be added into the ClearGov system through User Management. Individuals will receive an email welcoming them to ClearGov once added through User Management. We highly recommend alerting them that they are being added to the system in advance.
Note: Contributors and Reviewers in Operational Budgeting will not receive an email until you invite them so you can manage their permissions and assign accounts in advance of the invite. However, you may want to consider giving any Editors of an Operational Budget a heads up that they are being invited to assist with the process.

3 Steps to Prepare for Collaborators Before a Request Round
Step 1: Think through your Request Round Process and Collaborator Expectations
Think through questions like: Who needs to be involved? Who can sign off versus make edits? What should they be able to do in the system? What timeline are we working off of?
For example: Invitation deadlines for budget submission can vary for contributors. If you want the department heads to review, edit, and then submit accounts, it might be important to have the other department staff contribute first. Invite the co-contributors ahead of time and set an earlier deadline for them to complete their account requests before the department heads begin their review.
These questions (and more) can help you determine in advance of set up your Request Round process and help you communicate the process and expectations to your Collaborators.

Step 2: Assign Accounts
Once you know who will be doing what, take a look at the users you've already assembled for the Request Round and/or add them into ClearGov, then strategically Assign Accounts to the people who actually need to see them.
Note: Contributors and Reviewers are only able to see the accounts you assign to them.

Step 3: Review and Adjust Permissions
Take a look at your Collaborators and toggle on and off the Permissions as necessary. This would also be a good time (if you haven't already) to review any previous Account Assignments from Contributors and Reviewers from last year's budget cycle.
