Navigate through the Capital Budgeting Module
We recommend you take some time to familiarize yourself with the new system. Here are a few resources to help you:
- Navigate the Request Manager
- Video: All About Request Forms
- Request Statuses for Submitting Requests
5 Steps to Creating and Submitting Capital Requests
Step 1: Select a Form to Create a Request
From the Request Manager tab, you will be able to create a new request through a Capital Request Form created by your organization.
Resource: Start a New Capital Request
Step 2: Fill Out the Details of Your Capital Request
Inside the Capital Request Form, you will find fields to help you describe and provide information about your request. Pay special attention to the financial panels, such as Capital Costs and Funding Sources as these are critical pieces of information and mandatory to submit.
Resources:
- What is the difference between Capital Costs, Funding Sources and Operational Costs?
- What should I enter into the Financial Panel Columns?
- Add Account IDs to a Financial Panel
- Add a Location to a Capital Request
- Score Capital Requests with the Scorecard
Optional: If you have multiple requests, you can also rank your requests using Priority Rankings to help decision makers understand what is the highest priority to you. Resource: Video - Priority Ranking
Step 3: Collaborate with Your Teammates
Team members can work together on a request to fill in the details. You will find your own submissions and your teammate's requests in the Request Manager tab. You can even ask teammates to review in-progress capital requests and provide feedback with comments on the Request.
Resource: Request a Review for Teammates for a Capital Request
Optional: Review Capital Budgeting Reports
As a contributor, you have access to Capital Budgeting Reports to allow you to filter and sort through your Capital Budgeting data as needed. Head to the Reports tab to review the reports available to you and even create your own Custom Reports.
Resources: Capital Budget Reports
Step 4: Submit Capital Requests
When you are ready to submit your requests, you will update the Request Status to Request Submitted. You can do this individually inside of each request, or submit in bulk in the Request Manager Table.
Note: If you submit your request and need to make an edit to the request, reach out to an Editor to unlock it.
Resource: Submit a Capital Request
Step 5: Monitor the Status of Your Requests
The Editors of your Capital Budget will review all requests to make their decision. When they finalize a scenario, the Request Status will change and a Funding Status column will appear to help you track the status. They will change the status of your request to inform you if its been approved, deferred or denied, so be sure to check back periodically and reach out to the team should you have any questions.
